Terms and Conditions of Care

Introduction

Please read these terms and conditions carefully before booking or attending an appointment with us. By booking, attending, or continuing an appointment with The Goodwood Clinic, you are agreeing to these terms. If anything here is unclear, please ask a member of our team before your appointment.

Who We Are

The Goodwood Clinic is a private primary care clinic with a head office based at The Goodwood Racecourse, Selhurstpark Road, Goodwood, West Sussex, PO18 0PS. We provide private medical consultations and related services. We are registered with the Care Quality Commission (CQC registration number 1-13517313315) and our clinicians are registered with their relevant professional bodies (for example, the General Medical Council or Nursing and Midwifery Council).

What Our Service Is - and Isn't

We provide private primary care consultations. We are not an emergency service, and we do not offer 24-hour cover. Our service is designed to complement, not replace, the care you receive from your NHS GP.

If you have a medical emergency, do not wait for an appointment with us. Call 999 or go to your nearest Accident & Emergency department. For urgent but non-life-threatening concerns outside our opening hours, call NHS 111 or contact your NHS GP.

Consent to Treatment

Before any examination, investigation, or treatment, we will explain what is involved, including the likely benefits and any significant risks, so that you can make an informed decision. You have the right to ask questions, to seek a second opinion, and to decline any examination or treatment at any time. Attending an appointment does not commit you to accepting any particular treatment.

Where a chaperone is required or you would like one present for an examination, please let us know in advance.

Confidentiality and Sharing Information with Your GP

We take patient confidentiality seriously and handle your information in line with data protection law and professional confidentiality standards.

As a private clinic, we work alongside – rather than instead of your NHS GP. Good, continuous care depends on your NHS GP having an accurate picture of your health, including any care you receive privately. By booking or attending an appointment with us, you consent to us sharing relevant information about your consultation, diagnosis, and any treatment or advice given, with your registered NHS GP.

This may include a summary letter or notes sent directly to your GP practice after your appointment. If there is a specific reason you do not want particular information shared with your GP, please discuss this with your clinician, who will explain the implications for your ongoing care. In some circumstances – for example, where there is a risk to your safety or the safety of others, or where we have a legal duty to do so – we may need to share information even without your consent.

We will not otherwise share your information with third parties without your consent, except where required by law or professional duty (for example, safeguarding concerns, court orders, or public health reporting).

The Information You Give Us

The care and advice we provide is based on the information you share with us – including your symptoms, history, medications, and any other relevant details. Your care depends on this information being accurate, complete, and up to date.

  • Please tell us about all medications, supplements, and treatments you are currently taking or receiving elsewhere, including from your NHS GP or other private providers.
  • Please tell us about relevant past medical history, allergies, and any changes to your health since your last appointment.
  • If you are not sure whether something is relevant, please mention it anyway.

If information is withheld, incomplete, or inaccurate, this may affect our ability to assess you safely and could affect the advice, diagnosis, or treatment we provide. We cannot be responsible for the consequences of decisions made on the basis of incomplete or inaccurate information that you did not disclose to us.

Fees and Payment

Our current fees are available at goodwoodclinic.mbmedicalsolutions.com.  Fees are payable at the time of booking or at the appointment, unless otherwise agreed in writing. Prices may include or exclude the cost of medication, tests, or onward referrals – please ask if you are unsure what is included.

We do not offer treatment on credit. If you have private medical insurance, it is your responsibility to check what your policy covers before your appointment; you remain responsible for payment of our fees regardless of any insurance claim outcome.

Appointments, Cancellations and Missed Appointments

We ask that you arrive on time for your appointment. Late arrival may mean we are unable to see you for the full appointment length, or at all, depending on our schedule.

If you need to cancel or rearrange, please give us at least 48 hours’ notice. Cancellations with less notice, or appointments you do not attend without letting us know (a “no-show”), may be charged at the full appointment fee.

Prescriptions, Referrals and Test Results

Any prescriptions issued privately are your responsibility to collect and pay for, unless stated otherwise. If we refer you for tests or to a specialist, it remains your responsibility to attend and follow up on that referral, and to inform us if you do not intend to.

We will contact you about test results by either telephone, secure message or letter. It is important that you keep your contact details up to date and get in touch with us if you have not received results within the expected timeframe, as results should not be assumed to be normal simply because you have not heard from us.

Access to Your Records

We keep a confidential medical record of your care with us. You have the right to request access to your records at any time; there may be a small administration charge for copies in certain circumstances, in line with data protection law. Please contact us if you would like a copy of your records or wish to know more about how your data is stored and used.

Safeguarding

We have a duty to safeguard children and vulnerable adults. If, during your care, we have concerns about the safety or welfare of you or another person, we may need to share information with relevant agencies (such as social services or the police), in line with our safeguarding policy and legal obligations, even without consent.

Our Right to Decline or End Care

Occasionally we may not be able to offer, or continue to offer, care – for example, if your needs fall outside what we can safely provide, if the clinical relationship has broken down, or in the case of abusive or threatening behaviour towards our staff. Where possible, we will explain our reasons and support you to find alternative care, including via your NHS GP.

Complaints

If you are unhappy with any aspect of your care, please tell us – most concerns can be resolved quickly and informally by speaking to a member of our team. If you would prefer to raise something formally, please contact goodwoodclinic@mbmedicalsolutions.com, and we will acknowledge your complaint within 3 working days and respond in full within 7 working days.

If you remain unhappy with our response, you have the right to escalate your complaint to the Care Quality Commission, the relevant professional regulator (such as the GMC), or, where applicable, an independent healthcare ombudsman.

Data Protection

We process your personal and health information in accordance with UK data protection law (including the UK GDPR) and hold it securely. For full details of how we collect, use, and protect your information, please see our separate Privacy Notice, available at goodwoodclinic.mbmedicalsolutions.com.

Changes to These Terms

We may update these terms from time to time to reflect changes in our service, the law, or best practice. The current version will always be available at goodwoodclinic.mbmedicalsolutions.com.
